HMC MATCHING, as the data controller within the meaning of Regulation (EU) 2016/679 (GDPR) and the amended French Data Protection Act (“Informatique et Libertés”), attaches great importance to the protection of personal data and privacy of candidates, experts, and company representatives.
This policy aims to explain how HMC MATCHING collects, uses, stores, and shares personal data when using its website https://www.hmc-matching.com/ and more generally within the scope of its recruitment and expert-matching activities.
1. Data Collected
HMC MATCHING collects personal data directly from users (via forms and private spaces), but also indirectly from public sources (LinkedIn, CV databases, professional social networks) or through referrals.
Categories of data collected include:
Identification and contact data
Name, surname, email address, phone number.
Professional data
CV, professional experience, education, skills, location, availability, salary expectations or daily rate (experts), uploaded documents.
Company data
Company name, contacts, job title, recruitment needs, general information (including turnover, Glassdoor rating where applicable).
Contractual data
Documents or information required for contract management with experts or clients.
Financial data
Bank details (RIB) for expert payment when applicable.
Technical data
IP address, login logs, cookies, browsing data, analytics tools (Google Analytics, HubSpot Tracking).
Some candidates or experts may voluntarily include information considered “sensitive data” under the GDPR (health data, political opinions, religious beliefs, union membership, etc.). HMC MATCHING does not intend to process such data, does not use them when evaluating applications, and deletes them as soon as possible.
2. Purposes of Processing
Personal data are used for the following purposes:
- Analysis and management of applications.
- Matching candidates / experts with client companies.
- Mission management for independent experts, including contractual processes.
- Management of accounts and access to private spaces (company / candidate / expert).
- Commercial follow-up and client project management.
- Continuous improvement of services and internal statistics.
- Sending information or notifications (with consent when required).
- Maintenance, security, and proper functioning of the website.
3. Legal Bases
Processing is based on the following legal grounds:
- Pre-contractual measures: application analysis, communication, qualification.
- Contract performance: expert/company matching, mission management, commercial relationship.
- Legitimate interest: internal organization, activity management, security, platform optimization.
- Consent: non-essential cookies, marketing communications (where applicable).
4. Transfers Outside the European Union
HMC MATCHING strives to limit personal data transfers outside the EU. However, some tools used—such as HubSpot or Google Analytics—may involve regulated transfers (Standard Contractual Clauses, supplementary measures).
These transfers mainly relate to:
- CRM, contact management, and form tools (HubSpot).
- Analytics tools and cookies requiring consent (Google Analytics).
Transfers are strictly regulated to ensure GDPR-compliant protection. Users may refuse these cookies via the cookie management module.
5. Data Retention Period
Personal data are retained only for the time strictly necessary:
- Candidates / experts: 2 years after the last contact.
- Client relationship data: contract term + 5 years.
- Technical data (logs): 12 months.
- Cookies: 6 to 13 months depending on type.
